The closed-loop system

From proposal to paid, as one unbroken workflow.

The closed-loop system

What is a closed-loop agency system?

A closed-loop system runs the whole agency workflow (proposal, contract, project, time, invoice, paid, P&L) as one connected sequence, where each step feeds the next automatically. Because the loop is closed, there are no seams to sync and nothing to re-enter by hand, so the commercial picture is always up to date.

What 'closed-loop' means

In a closed loop, the output of every step is the input to the next. A signed proposal becomes a project. Time logged on that project flows into the invoice. A paid invoice updates the P&L. Nothing is copied between tools, because there is only one system.

Every integration is a seam

When tools are wired together, each connection is a place data can drift. An open loop means someone is forever reconciling the project tool against the timesheet against the invoice. A closed loop removes those seams entirely.

The loop, step by step

Proposal → contract → project → time → invoice → paid → P&L. Each handoff that used to be manual re-entry becomes automatic, so the team spends time on client work instead of moving data between apps.

Why it compounds

A closed loop doesn't just save admin. It keeps every number trustworthy. Because the data is never re-entered, profitability, utilisation and cash all stay accurate in real time, and AI can reason across the whole loop rather than one isolated module.

FAQ

What is a closed-loop agency system?+

A system where proposal, contract, project, time, invoice, payment and P&L run as one connected workflow, with each step feeding the next automatically and no manual re-entry.

Why is a closed loop better than integrating tools?+

Every integration is a seam where data drifts and has to be reconciled. A closed loop shares one data model, so there's nothing to sync and the numbers always agree.

What does the loop include?+

Proposal → contract → project → time → invoice → paid → P&L: the full path from winning work to seeing its profit.

How is a closed loop different from a Zapier-connected stack?+

Zapier passes data between separate tools, each with its own database, and breaks when a field name changes. A closed loop has one database underneath every step, so there's nothing to pass and nothing to break: the invoice and the project are the same record, not two records kept in sync.

Does a closed-loop system replace my accounting software?+

For day-to-day client billing, largely yes: invoices draft from logged time and update the P&L on payment. Most studios still keep bookkeeping software for tax and reconciliation and feed AgencyFlo invoices into it; the live commercial loop lives in AgencyFlo.

What breaks when the loop is open?+

Margin you can't trust. With an open loop, time, invoices and the P&L live in different tools and disagree until someone reconciles them, so profitability is always a week or a month behind the work it describes.
